Advanced Filters

Advanced Filters allow you to search through your database and create multi-layered reports with multiple saved Filters and conditions.

Choose your search criteria and then decide whether you want to include or exclude any saved Filters or show contacts that meet both:

  • your search criteria
  • and the specified saved Filters.

Choose a saved Filter


A Saved Filter is a segment of your contact database.

To build an Advanced Filter in your CRM that contains multiple segments, you first need to choose the first Filter (segment) to work with.

In the left-hand side menu hover over Filters → Click on the + icon to create a new Filter or select an existing Filter from the list.

In the Filter pop-up click on Add saved Filter

Select a saved Filter from the dropdown by clicking on the Filter's name.

Once the Filter is selected, you can choose to Include, Exclude, or show contacts that are In common with your search criteria. Include is selected by default.

This option allows you to add results from the saved Filter to your new criteria.

If a contact meets both—your new criteria and the saved Filter's criteria, it will be counted only once.

For example, if a Contact's address country is Ireland and the Lead source is an Affiliate, it will be counted as a single occurrence.

In the example below, if you run this search, you will see all contacts with the address in Ireland and those with the Lead source Affiliate.

You can Exclude saved Filter results from your search criteria by choosing the Exclude option from the dropdown.

The resulting contacts will match the search criteria, excluding those that match the saved Filter.

In the example below, if you run this search, you will see all contacts with the address in Ireland but not those with the Lead source Affiliate.

The In common option allows you to show contacts that match the intersection of your search criteria and the chosen saved Filter.

In the example below, if you run the search, you will see all contacts with an address in Ireland that also has the Lead source Affiliate.

How to save an Advanced Filter

Advanced Filters can be saved and used in the exact same way as regular Filters.

Once you specify the search criteria and its relation to the specific saved Filters → Click on the Save & Run button to create and save an Advanced Filter.

Notes:

  • Multiple Saved Filters can be combined together.
  • It is possible to save a saved Filter that contains another saved Filter and add it to an Advanced Filter (multi-level saved Filters).
  • Advanced Filters used on a large number of contacts can take a while to run.
  • The number of available contacts in a Filter is shown in the top right corner of the Filter pop-up.
