Schedule emails from your CRM

Scheduled emails are available on the Business and Max plans. Upgrade here.


Increase the effectiveness of your email communication by scheduling emails. It enables you to send your messages at times when they are most likely to be received and responded to.

For example, emails sent after lunch or first thing in the morning have higher open rates.

Create scheduled emails

Once you are connected to the Email syncOpen a new email.

Select a contact's email address → add content to the subject line and/or the body of the email → click on the downward arrow (↓) and select Schedule email.

Pick a date and time when to send the email to the selected contact(s) → click on the Schedule button.

In the Schedule popup select the date and time for your email and click Schedule button.


💡 You can schedule up to 2000 emails in the future.

💡 The scheduled email will appear below the Actions on the contact profile.


Additional notes:

  • Type in the Next Action field to schedule emails, or use the Insert pop-up to add them.

  • To delete the scheduled date and time, click on the Edit button to open the Email editor. Then click on Cancel schedule.

💡 The email will be saved as a draft.



Where to find scheduled emails

Scheduled emails can be found on the Contact profile or the Email Page.


Contact profile

Open the contact → scroll down to the Actions area. You can find scheduled emails under the Scheduled emails subsection.

Email Page

Go to the Email Page → click on the Scheduled folder in the left-hand side menu.

💡 On the Email page, filter scheduled emails by team member or other preset filters.

💡 Scheduled emails can be seen by all users who have access to the Email page.

💡 Focused Users will only be able to see scheduled emails for contacts owned by them.



Edit scheduled emails

Any aspect of the scheduled emails can be edited on the Contact profile or the Email Page.


Contact profile

Open contact → go to ActionsScheduled emails → click on the Date flag to update the date/time.

Or click on Edit to view it and update any other elements.

How to Edit scheduled email


Email Page

Go to Email → Scheduled folder → select the email → click the date, time, or downward arrow (↓) to reschedule.

Click Edit to open the Email editor.

💡 Any user who has visibility to the scheduled email can update the send time of the email.

💡 The content of scheduled emails can only be edited by the owner of the scheduled email.



Delete scheduled emails

Scheduled Emails can be deleted on the Contact profile or the Email Page.

Open contact → go to ActionsScheduled emailsbin icon.

Email Page

Go to EmailScheduled folder →  select the email → click on Discard.

To delete an individual scheduled bulk email → hover over the email → click on the bin icon.

💡 To stop a scheduled email but keep it as a draft, click Cancel schedule.

Create scheduled email templates

Open a contact → scroll down to the blue Next Action box → select Insert button.

Select the Email tab → click on Schedule Template.

Select a template and set a date and time when it should be sent → click Save.

💡 Find more details about creating email templates here.

💡 Email templates used in email sequences need to be marked as visible to all users.

💡 If a template is deleted, any scheduled email using it can’t be used and will appear in red in the Insert pop-up.

💡 Quote block templates cannot be used to create scheduled templates.

💡 Use scheduled email templates in the Autoflow feature.


  • Create new email templates from the Insert pop-up window.
  • Contact profile | Insert pop-up | Schedule email | Create new email template


  • Edit email templates from the Insert pop-up window by clicking on the pencil icon.
  • Contact profile | Insert pop-up | Schedule email | Edit email template


  • To delete a scheduled email template → hover over the template → click on the bin icon.
  • Contact profile | Insert pop-up | delete email template

    There are two ways to insert an scheduled email templates:
    • By typing in the Next Action text field and selecting an option from the dropdown.

    Or...
    • Open the Insert pop-up → Emails tab, select one or multiple scheduled emails → click Insert.

    Once emails are inserted, you can edit them if needed on the Contact page.

    Contact profile | hover over the scheduled email sequences under the Next Action box to edit them.


    💡 Click on the Date flag to quickly change the date and time the email will be sent at.
