How to customize and apply Status labels

Using Status labels in OnePageCRM supports you in managing each stage of your sales pipeline. By setting a status for your contacts it focuses the entire organization on moving contacts through the sales funnel.

Please note: Only the Account Owner or Administrators can add/edit/remove Status labels.

Add/Edit/Remove Status labels

From the Action Stream page or the Contacts page → hover with the cursor over Status in the left-hand side menu → click on the cog wheel icon.

In the Edit status labels pop-up, click on the Status you want to edit and make the edits required to the name of the Status, description, and colour → Save
Make any changes as required in the Add/Edit status labels pop-up → click Save.
  • Click on Add another status to create a new one.

  • Edit the name of existing Status labels by clicking into the textbox for the name or description.

  • Remove a Status label by selecting the X icon.

  • Reorder the Status labels by using the upward and downward arrows next to their text boxes

Note: You can also assign color-coding to the Status labels, by clicking on the box in front of the textbox and selecting a color.

Notes:

  • The first Status label at the top will be the default Status label for your contacts.
  • Contacts associated with a removed Status label are automatically assigned to the default Status label.
  • When creating a OnePageCRM Web form you can select which Status label should be assigned after a new contact has been submitted.
  • You can select Status labels when creating filters in the CRM.

Update the Status label for individual contacts

Open the appropriate contact → In the Contact profile section at the top, click on the current Status labelselect another option from the dropdown.

Select the appropriate contacts or organizations from any list view within the CRM → in the bulk update menu at the top → click on Statusselect the Status label from the dropdown.

Notes: 

  • If you have more contacts than the default number of contacts loaded in your settings, and you want to bulk update all of them, you can do so by clicking on the Select: all # contacts in filter link in the text that appears at the bottom of bulk update menu.
  • If a contact is updated as a part of a bulk update, this is not recorded when you run the Last activity filter in Advanced search.
  • This update cannot be undone.
  • See here the reasons why some of the contacts selected in bulk have not been updated.

Enable/Disable the Status Sync across all contacts within an organization

Open the appropriate contact → select the pencil icon to edit the contact.

Scroll down to the Status fieldselect the checkbox to the left of the field.
  • ticked - means the sync is enabled
  • unticked - means the sync is disabled
  • Edit Contact info | scroll down to Status label field | select the checkbox to enable the sync.

    Notes:

    • If the other contacts from this organization have different statuses, the yellow message will show the number of statuses that will be changed to match the one selected.
    • Updating the Status of any contact within the organization will automatically change the status of the other contacts within the same account.

    Select the appropriate contacts or organizations from any list view within the CRM → in the bulk update menu at the top → click on the 3-dots menu → select Advanced updates... from the dropdown.

    In the Advanced bulk updates pop-up, select Sync Status from the first dropdown → in the Set to select if you wish to enable or disable the sync from the drop-down → Apply.
  • Sync ON - Will enable the Status Sync for the selected contacts.
  • Sync OFF - Will disable the Status Sync for the selected contacts.
  • Advanced bulk updates pop-up window | select Sync Status | Apply

    Notes:

    • All contacts within the same organization need to have the same Status to begin with, otherwise, the Status sync cannot be enabled
    • If there is only 1 contact in the organization the Status sync cannot be enabled.
    • See here the reasons why some of the contacts selected in bulk have not been updated.

    Filter your contacts by their Status label

    There are 2 options to filter your contacts by their Status label.

    • You can use the predefined filters on the Action Stream or Contacts page in the left-hand side menuexpand the Status label dropdown and select the appropriate one.

    • Alternatively, you can create a filter with multiple criteria including the Status label.
